What automation means here
An automation is a simple rule: when this happens, do that. When someone fills in your website form, send the details to your phone. When a booking is made, email the customer a confirmation. The tools watch for the trigger and carry out the steps, so nobody has to copy and paste between apps.
It works best for jobs that follow the same pattern every time. Anything that needs judgement stays with you.
The tools, in plain terms
There are a few popular options, and they all do roughly the same thing in different ways.
- Zapier: easy to start, with a long list of app connections. Billing is per task, and AI steps can count as more than one (Zapier rates).
- Make: a visual builder where you can see each step as a flow chart. Handy for slightly longer chains.
- n8n: can be hosted on your own server, which suits businesses that want more control over where data goes.
Examples for Malta businesses
These are the kinds of flows we set up. Each one is shaped around how you already work.
- Website brief arrives, a WhatsApp alert goes to you and a row is added to a Google Sheet
- A customer visits or buys, and a polite review request follows a little later
- A booking comes in and the customer gets a confirmation with the date, time and your Google Maps link
- An invoice passes its due date and a friendly reminder goes out
- A new lead from Instagram or Facebook pings the right person on your team
Where AI fits in
Some steps need a bit of reading rather than a fixed rule. An AI step can summarise a long enquiry into two lines, sort messages into bookings, complaints and quotes, or draft a reply for you to edit before sending.
We set AI steps up to support a person, not replace one. Drafted replies wait for approval, and anything unclear is routed to a human.
Who hosts it
Cloud tools like Zapier and Make run on the provider's servers under your own account. n8n is often run on a server you control. We agree the setup with you before building, and the accounts sit in your name.
A note on n8n: its free self-hosted edition is licensed for a business's own internal use, and the licence restricts some ways of hosting it for other businesses (n8n licence FAQ). Running client flows on an agency's shared instance can fall outside those terms, so we set it up in your name and you should read the licence too.
WhatsApp and personal data
Automatic WhatsApp messages to customers have their own rules. Free-form replies are only allowed within the 24-hour window that a customer's message opens. Outside it, a business can only send pre-approved templates, billed per delivered message, to people who opted in (WhatsApp opt-in rules). A customer messaging you first isn't opt-in on its own. Alerts to your own phone are simpler.
Automations also move customer details between services. Each one should be listed in your privacy notice. That part is your call, and our GDPR guide covers the basics.
