What an AI receptionist can do today
Voice AI has moved quickly, and callers can now speak normally to an agent. Platforms exist that connect these voices to an ordinary phone line, for example Retell AI or Vapi as of October 2026 (Vapi docs), and OpenAI's Realtime API can also take calls over a phone connection (OpenAI SIP guide).
For a small business the useful version is modest. The agent picks up, says who it is, answers the simple stuff and makes sure nobody hangs up without leaving their details.
- Answer opening hours, address and directions
- Explain your services and general pricing from your own notes
- Note a booking or quote request with name, number and preferred time
- Take a message for a specific person
- Send you a short written summary once the call ends
How it connects to your phone
You keep your existing number. The simplest setup uses call forwarding, so only certain calls reach the agent: the ones you miss, the ones that come in while you are on another line, or everything after closing time. During the day, you still answer as usual.
Busier setups connect through a phone service provider so calls can be routed and transferred more flexibly. We look at how your calls come in today and suggest the lightest option that works.
Where it struggles
Honesty matters here, because a bad phone experience annoys people more than a slow reply on chat. Longer, multi-step calls are the weak spot. Confirming a booking against a live calendar, changing an order or taking a payment all involve several steps, and that is where voice agents most often trip up.
Language is another one. Lots of calls in Malta switch between Maltese and English mid-sentence, and we have not seen proof that current voice agents handle that mix reliably. We test with real-sounding calls before anything goes live and will tell you plainly if it is not good enough for your callers.
Being upfront with callers
Under the EU AI Act, people must be told when they are speaking to an AI system, and that has applied since August 2026 (European Commission). We set the agent up to introduce itself as an AI assistant at the start of every call. This is general information, so check what applies to your business.
Recording or transcribing calls also brings data protection duties, such as telling callers and having a lawful reason to keep the data. We build the notice into the greeting, but you should check the requirements for your business with a qualified adviser.
When a human is the better answer
Some calls should always reach a person: complaints, emergencies, upset customers, anything medical or legal, and regulars who expect to hear your voice. We set clear rules so the agent offers a transfer or a callback in those cases instead of trying to cope.
If you get only a few calls a week, a voicemail message pointing people to WhatsApp, or a good custom AI assistant on your website, may suit you better. We will say so if that is the case.
